I made contracts for the actors to sign so they have agreed in advance for us to use them on certain dates. Here is a sample:

I agree to attend all shooting sessions including re-shoots over the following weekend dates:
Saturday 24th – Monday 16th November
Saturday 1st - Sunday 2nd December
Saturday 8th – Sunday 9th December
(Shooting will not be on all days and will be told to you by group representatives)
Most shooting will be done in the evening or at night but meeting times will be told to you.
